Question:  “I’m an office manager. I want to see if Laura has a suggestion or a way to keep track of staff when the office manager is not on site? How to still manage and monitor away from the office?”
Answer: If you have proper systems in place you should be able to keep things in order with an off site office manager. I recommend looking at each role in the office and breaking down responsibilities – daily, weekly, monthly – and go from there. Checklists are a great way to track tasks and stay on top of what each person is taking care of. They can be easily created and handed over to the manager when complete. You can see our examples of daily tasks for different positions within the office under our Office Manager Training documents section.
Try to create a Google Doc that can be shared between each employee and the office manager so that it is easily shared between the two. Maybe have them employee submit the checklist to the office manager on a daily basis, weekly, etc. depending on when each task would be due. You could also consider using a metric software like Dental Intel.
Also, hold weekly meetings via Zoom or phone to see how the team members are doing, how it is going with their tasks, if there is anything that they may need, etc. When time allows, the office manager can make an unannounced visit to follow up with the team to make sure they are following through.
